Pleexy creates tasks in your Todoist from your JIRA issues. Pleexy can include or ignore issues based on project, type, status, and assigned person; synchronize due date; and automatically delete or complete tasks when you delete or complete issues in JIRA.

After you connect JIRA as a source service, you can customize your JIRA and Todoist integration exactly the way you want. First, navigate to the page where you can change settings:

  • ToDos for Jira Issues works within Jira allowing you to keep all your tasks in one single place. Todos are personal - add whatever Todo that's important to YOU. Create ToDos connected to an issue AND get Issue status reminders whenever the status is changed or when set to a particular status. Edit status or access Issues directly from a ToDo.
  • Jira is available on Windows, Macintosh desktop platforms and IOS, Android mobile platforms. Todoist is available on Windows, Linux, Macintosh desktop platforms and Android, IOS mobile platforms.

  1. From the Pleexy dashboard, inside the JIRA card, click Details.

On this page, you can customize the connection's name. You can also adjust the settings for Source, Destination, Tasks, and Actions. Let’s go through your options.

Source settings

Source settings let you configure how Pleexy searches for issues in JIRA. You have two options: Select JIRA issues or Advanced mode.

Select JIRA issues allows you to filter issues by project, type, status, assigned person, and last update.

  • Project: Click the drop-down menu to select the projects Pleexy should search for issues. If you don't select specific projects, Pleexy will search all projects.

  • Type: Click the drop-down menu to select which types of issues Pleexy should search. If you don’t select specific issue types, Pleexy will search all types.

  • Status: If you want to limit Pleexy's search to only issues with a certain status, click the drop-down menu to select the status. If you don’t select specific statuses, Pleexy will search all statuses.

  • Assigned to: Click the drop-down menu to specify whose issues Pleexy should search. If you don’t specify whose issues Pleexy should search, Pleexy will search for issues assigned to you.

  • Last update: Pleexy can ignore JIRA issues that you consider out-of-date. For example, if you enter ‘60,’ Pleexy will ignore JIRA issues that haven’t been updated in the last 60 days.

Pleexy combines your settings for the filters. For example, if you select the Planning project, the Story and Epic issue types, the To Do status, and issues assigned to yourself, then enter 30 days, Pleexy will search for issues that meet all of the requirements:

Advanced mode is for expert JIRA users who want to use pre-defined JIRA filters. You can use the advanced filters you have set up in JIRA to tailor which issues Pleexy creates as tasks in your Todoist.

Destination settings

Jira

Destination settings define how Pleexy creates tasks in your Todoist. You have two destination options:

  • Create all tasks in one project: Create tasks from all JIRA issues in the same Todoist project. Click the drop-down menu to select the Todoist project to use.
    Note: If you want Pleexy to create tasks in a new Todoist project, log in to your Todoist and create the new project there. Back in your Pleexy settings, in the project drop-down menu, click Refresh to update the list of projects.

  • Use an individual project for each notebook: Create tasks from each JIRA issue in a different Todoist project. Click the drop-down menu to select the root Todoist project to use. Pleexy will create individual projects within the root project you select for the tasks from each JIRA issue.
    Note: If a project with the same name already exists in the root project you select, Pleexy will use it instead of creating a new project. This way, Pleexy can combine tasks from different source services in the same project. For example, Pleexy will create tasks from a “Development” issue in JIRA and a “Development” board in Trello in a single root project.

Task settings

In the Task settings, you can specify how Pleexy creates, names, and synchronizes tasks and task attributes.

Under Task title template, use macros to customize how Pleexy names your tasks. For JIRA integrations, seven elements are available for task names: {key}, {due_date}, {project}, {reporter}, {status}, {title}, and {type}.

As you change your task title template, Pleexy shows how your changes will look in a live example under the template field. You can combine the macro elements however you want, as long as you get the formatting correct. Here are some ideas:

  • {title} from {reporter}: {key}

  • {key} - {status}: {project}

Note: If you manually edit a task title in Todoist, Pleexy won’t update or change your edited title.

Next, you can also toggle-on several synchronization options:

  • Set task's Due Date according to Due Date of the issue: syncs the Todoist task's due date with the due date specified for the JIRA issue.

  • Add issues' Description to the task in Todoist: adds the description from the JIRA issue to the Todoist task.

  • Set task's Priority according to Priority of the issue: syncs the Todoist task's priority with the priority specified for the JIRA issue.
    Note: If you select this option, you need to specify how Pleexy should assign Todoist priorities based on JIRA issue priorities.

Finally, click the drop-down menu to select which JIRA statuses Pleexy should treat as completed. For example, if you don't want Pleexy to create tasks for issues that are marked with the 'Ready for Testing' status in JIRA you can select that option from the drop-down menu. In this case, if a JIRA issue is marked as 'To Do,' Pleexy will create a task for it. If the issue is later updated as 'Ready for Testing,' Pleexy will delete the corresponding task.

Action settings

Actions settings let you control what Pleexy will do with Todoist tasks when you delete or complete issues in JIRA.

First, specify what should happen in Todoist when you delete an issue in JIRA. Click the drop-down menu to select one option:

  • Delete corresponding task: Pleexy will delete the corresponding task in Todoist

  • Do not touch task: Pleexy will leave the corresponding task in Todoist

Second, specify what should happen in Todoist when you complete an issue in JIRA. Click the drop-down menu to select one option:

  • Complete task: Pleexy will mark the corresponding task as complete in Todoist

  • Do not touch task: Pleexy will not mark the corresponding task as complete in Todoist
